Position Description:


The Grants Development Office (GDO) is an academic support office within the University's Research and Economic Development Office. The mission of the office is to provide guidance, information and services to administrators, faculty, and staff engaged in extramurally funded research, instruction, professional development and community service projects. The Grants Analyst searches for funding opportunities, assists faculty, staff, and administrators in proposal and budget preparation, and interprets and analyzes sponsor guidelines, submitting proposals in sponsor-required formats to facilitate the highest probability of award capture.

The following examples illustrate typical work activities and are not meant to be all inclusive or restrictive:

Provides direction and assistance in the development of simple to complex multi-disciplinary proposals, including recommending funding sources, reviewing and editing proposal narratives, developing budgets, assuring compliance with sponsor guidelines, and final proposal processing, interface with University and Corporation administrators for campus approval and submission to the sponsor. Acquires, reviews, analyzes, and disseminates funding information to faculty within assigned colleges.

Reviews and interprets various funding guidelines and regulations via public and private RFP's Federal Register, FAR and DFARS announcements, and OMB circulars.

Follows up and coordinates with faculty, Cal Poly Corporation Staff, and representatives of external sponsoring agencies on status of proposals and awards. Assists in coordination of information interface between pre-award University Grants Development Office and post-award Corporation Sponsored Programs Office to maintain currency of information on the status and development of proposals and awards.

Maintains currency of regulatory changes and laws that impact the development of grants and contracts. Updates fringe benefits rates, indirect cost rates, and faculty salary projections in proposals as changes occur. Explains and interprets policies, procedures, regulations and formulas concerning grant proposals to campus community and outside agencies via email, telephone, fax, and face-to-face dialogue.

Minimum Qualifications (Staff Only):

Equivalent to graduation from a four-year college or university. Three years of technical or administrative experience. A graduate degree in a related field may be substituted for one year of the required experience. Additional qualifying experience may be substituted for the required education on a year-for-year basis.

Required Qualifications:

Working knowledge of grants and contracts development and research administration. Ability to keep abreast of issues in higher education and research administration.

Working knowledge of or the ability to quickly learn regulations including California Education Title 5, Executive Orders, State University Administrative Manual (SUAM), Campus Administrative Policies (CAP), system-wide and local policy.

Thorough knowledge of policies and procedures with the ability to analyze, comprehend, interpret and apply legislative information, and legal/contractual language.

Strong ability to take initiative, independently plan, organize, coordinate and prioritize work, and perform in various situations where numerous and diverse demands with time constraints and overlapping requirements are involved.

Expertise in researching and analyzing information with the ability to apply independent judgment, discretion and initiative in recommending appropriate solutions to resolve problems.

Excellent computer skills with demonstrated advanced proficiency using standard office software programs, including word processing, spreadsheet, database management, email, and calendar. General knowledge and ability to use the internet (i.e., websites, email, online proposal submission, document uploads, and other electronic research tools).

Demonstrated ability to work in a professional manner effectively and cooperatively with a diverse clientele, including interactions with difficult and demanding individuals both in public and private organizations.

Demonstrated knowledge of or the ability to quickly learn private and governmental funding sources and opportunities, and experience interpreting sponsor guidelines and requirements for applying for funding, and ability to communicate regulations and procedures.

Excellent communication skills with the ability to provide training to others. Must be able to communicate professionally, openly, and effectively with faculty, administrators, staff, managers, and the community, with the ability to identify and understand questions and provide helpful responses for problem resolution.

Excellent written communication and proofreading skills (spelling, punctuation, and grammar) with a high attention to detail.

Ability to analyze data and make accurate projections with the ability to compile, write, and present reports.

Demonstrated ability to maintain a high degree of confidentiality

Ability to foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in and outside the University.

Ability to learn and adapt to the use of new technology, such as web-based tools.

Preferred Qualifications:

Experience in a University sponsored programs or similar office with experience in grants and contracts preparation and submission

Knowledge of Microsoft Office, including Outlook, Word, Excel, Access, and PowerPoint, and ability to quickly learn a variety of computer programs, as well as specific knowledge of funding search engines such as Sponsored Programs Information Network (SPIN),, and other various computer applications and web-based programs to enter and retrieve information, program databases, and research funding sources.

Special Conditions:


Must be willing to travel and attend workshops and/or training programs off-site for occasional professional development.

Ability to work in a busy office with related noise from office equipment and people.

Must be able to work outside regular office hours to meet grant deadlines.

This position classification has been defined as exempt and is not subject to overtime provisions of the Fair Labor Standards Act (FLSA).

The person holding this position is considered a 'mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.

May be required to complete a Supplemental Employment Application Questionnaire, which contains questions pertaining to conviction history, and submit it when requested by Cal Poly. This disclosure is confidential and will not necessarily preclude applicants from employment.

Retired CalPERS members selected for this vacancy must request and be approved for reinstatement from retirement prior to the start date. Employment of retired CalPERS members will typically be for 90 days or less and must be for work requiring specialized skills or for a bona fide emergency to prevent stoppage of business.
